Summary
Under limited supervision, performs basic secretarial and clerical duties pertaining to the activities of the Residential Program.

Essential Duties and Responsibilites
Sensitivity to cultural diversity of others Responsible for typing and compiling case review reports and documentation sheets generated by case review meetings Handles all the secretarial requirements for meeting minutes and correspondence generated by the ICF/MR program staff Responsible for set-up, maintaining, updating and purging the program charts for residents and operation record files as needed Responsible for maintaining and updating mailing lists for residents and employees Assures that outgoing mail is deposited Troubleshoots and/or reports any computer, facsimile machine, or copier problems that may occur and follow through to assure the problem is fixed Under the direction of the Senior Manager, purchases any necessary office supplies or equipment as needed Handles all the Secretarial requirements with respect to correspondence as requested Types all reports, forms, records, and other related material as requested Interfaces with people on the telephone in a responsive and appropriate manner with accurately recorded phone messages Interfaces with people personally in a responsive and appropriate manner and carries out certain public relation functions as requested Arranges for appointments, meeting rooms, luncheons and travel arrangements as requested Assists in preparation of memos, flyers, etc…as requested Is responsible for duplicating, word processing and computer usage as requested Other duties may be assigned

Qualifications

Education and/or Experience
High school diploma or general education degree (GED); or equivalent combination of education and experience.

Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Math Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area circumference and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Other Skills
Must be able to type 55-60 words per minute and have the ability to translate a foreign language, take shorthand, and transcribe dictation. Must be proficient with word processing and be able to produce errorless documents.
